Check out a work order
This workflow shows you how to check a picked work order with Checkout before it is delivered. You count every item of the order by scanning it, and oneGRID compares your count with the amount that was requested and the amount that was picked. Only an order whose counts match can be finished, and finishing reports the checked amounts to your connected system.
Role: Operator
Prerequisites
- Your account has the Checkout permission. The Administrator, Supervisor, and Operator presets include it — see Permissions and presets.
- Checkout is part of your organization's license. Without it, the Checkout tile, its pages, and its permission are not available — see A feature is not visible.
- Picking of the work order has started: at least one of its items has been picked. A work order that has not been started yet, that was abandoned, or that has nothing left to check cannot be checked out. The order does not have to be picked completely — you can start counting while picking is still pending.
Steps
Open the work order
- On the Main Menu, click Checkout in the Order Fulfillment section. The Checkout start page opens.
- Choose how you identify the order: Work order or Container. oneGRID remembers your choice for your account, so the page opens with it next time.
- Scan the code of the work order or of one of its containers, or type it into the Work order number or Container code field. With Container, the whole work order opens, no matter how many containers it spans.
If the code cannot be matched, a message says why — for example, that the work order does not exist, that no work order is attached to the container, or that the work order has not been started yet.
Read the checkout page
The page shows the work order number at the top, with these elements below it:
- While picking of the order is not complete, a warning banner names the order's process followed by pending — the name of its work order type, or Picking for an order without one — and says how many of the order's requests have not been completed. Those lines cannot match until picking delivers them. An order completed with cancelled requests counts as complete and shows no banner.
- Progress — a bar showing how much of the order is already checked. It turns red as soon as any line is counted above its requested amount.
- Attached containers — the codes of the containers attached to the order, if there are any.
- The item list — one line per item of the order, with the columns Number, Name, Lot number (only when the order carries lot numbers), Requested, Picked, Checked, and Status.
The Status of each line tells you where its count stands:
| Status | Meaning |
|---|---|
| Not started | Nothing has been counted on the line yet. |
| Ongoing | Fewer items have been counted than were requested. |
| Success (green) | The picked amount and the checked amount both equal the requested amount. |
| Exceeded (red) | More items have been counted than were requested. Remove the extra counts in Counted entries. |
| Incomplete picking (red) | Less was picked than was requested, whatever has been counted. The line cannot match until picking delivers the rest. |
| Pick failure (red) | More was picked than was requested, whatever has been counted. This points at inconsistent order data. |
A request that was cancelled before anything was picked is not listed. A request that was cancelled after part of it was picked is listed with the picked amount as its requested amount.
Count the items
- Scan an item. You do not need to tap the Item number field first — the page takes a scan wherever the cursor is. You can also type the item number into the field.
- If the order carries lot numbers for this item, the Scan lot number dialog opens. Scan the lot number of the item you are checking. If the order also lists the item on a line without a lot number, Item has no lot number counts that line instead. Cancel closes the dialog without counting.
- Each scan adds one to the Checked amount of the item's line and moves the progress bar. If the item is on several lines of the order, the scan fills the first line that still has room.
- Repeat until every line reads Success.
Every count is stored on the server the moment it is made — there is nothing to save. You can stop counting at any point and the order keeps what was counted; reopening it shows everything recorded so far, whoever recorded it. Two operators can count the same order at the same time.
While a count is on its way to the server, the scan field and the buttons are blocked. A scan made in that moment is not counted — wait until the count has settled before you scan the next item.
With lot number tracking enabled, the Scan lot number dialog opens for every item the order carries with a lot number. With tracking disabled, it opens only when the same item is on the order under more than one lot number.
An item that is not on the order, or a lot number that is not on the order for that item, is reported and not counted. If the reply to a count is lost, oneGRID reads the order again and shows what is stored instead of asking you to scan a second time. Scan the item again only if your count is missing.
Correct a count
A checked amount cannot be typed in. An item counted too high is corrected by removing the counts that made it so.
- Click the pencil button at the end of the item's line. The Counted entries dialog opens. It lists every count on the line, newest first, each with the amount it added, when it was counted, and who counted it — You for your own counts, Removed user for an operator who has since been removed.
- To take back a single count, click its bin icon (Remove entry). The entry is marked Will be removed. Click the icon again (Undo removal) to keep it.
- To take back every count of the line, click Reset all entries and confirm with Reset. Undo reset cancels this before you save.
- To clear all your marks, click Undo all changes.
- Click Save & close. Only now are the marked entries removed. Without any marks, the button reads Close.
The dialog can be left only through this button, so marked removals are never lost by pressing Escape or clicking beside the dialog. A removal that would take the checked amount below zero is refused, and the dialog stays open with your marks. If somebody else has already removed one of the entries you marked, nothing is removed: the list is read again and your marks are cleared, so you can mark the entries again.
View the work order details
Click the eye button next to the work order number to open the order's details. Opened from Checkout, the details are for reading only: the assignee cannot be changed and Abandon is not offered. A request cancelled during picking is marked (Cancelled).
Finish the checkout
- When every line reads Success, click Finish. The button is available only then. oneGRID reports the checked amounts of the whole order to your connected system and returns to the Checkout start page.
- If the connected system cannot be reached, the checkout is still saved and the order counts as checked out. A warning says that the connected system could not be reached. Open the order again later and click Resend.
A request cancelled before anything was picked is not reported and does not block Finish. A request cancelled after part of it was picked is reported with the picked amount.
To leave an order without finishing it, click Back. You return to the Checkout start page without a confirmation, and the counts made so far are kept.
Open a checked-out order
A work order whose checkout is finished is closed. When you open it on the Checkout page, an alert shows when it was checked out. The scan field and the pencil buttons are disabled, and Finish is no longer shown — Back remains.
If your organization's connected system is set up, a Resend button sends the checked amounts to it again. Resend is available only while every line still reads Success. Once the amounts are sent, you return to the Checkout start page; if the connected system cannot be reached, the order stays as it is and you can click Resend again.
Result
The work order is counted and its checkout is finished. The checked amounts are reported to your connected system, and the order shows a Checked chip in the History and a Checkout row with the date in its details — see Manage work orders.
