Manage users

This workflow shows you how to manage the user accounts of your organization. It is for administrators with the User Administration permission; users with only the IoT Administration permission can manage IoT users.

Prerequisites

• Your account has the User Administration permission (or IoT Administration for IoT users).

Steps

Add a user

1. Open Administration > Users.
2. Click Add user. The Add user page opens.
3. Choose the account provider:
   • oneGRID — oneGRID creates the account and sends a registration email. Enter the Name and Email.
   • Your organization's Microsoft sign-in — no registration email is sent; the user logs in with their company credentials. Enter the Email.
4. Optionally, choose an Assigned color — see Picker colors.
5. Assign permissions: select a preset such as Administrator, Supervisor, or Operator, or choose Custom and select individual permissions — see Permissions and presets.
6. Save the user. Users with a oneGRID account show the registration status Pending until they complete their registration; it then changes to Completed.

Edit a user

1. In the user list, open the three-dots menu of the user and click Edit user settings.
2. Adjust the permissions, the Assigned storage (the storage the user works in by default), and the Assigned color (the LED color shown during that user's processes — see Picker colors).
3. Click Update.

Picker colors

The Assigned color list offers None and ten colors: Cyan, Green, Blue, Yellow, White, Magenta, Violet, Orange, Emerald Green, and Lime. A storage can hand out each color to one operator at a time, so up to 10 operators can work on it at once. When the user's assigned color is already taken on that storage, or the user has none, oneGRID gives them the next free color. A Storage assigned color in the storage settings overrides the users' colors.

Violet, Orange, Emerald Green, and Lime are shown by smartLED only. smartCAP sensors cannot display them, so on locations equipped with a sensor there is no confirmation light for a user holding one of these colors. When you choose one of them, the page shows the warning The selected color cannot be shown by smartCAP sensors. On locations equipped with a sensor there will be no confirmation light, so use this color only where smartLED is installed.

Resend a registration email

1. In the user list, open the three-dots menu of a user with status Pending.
2. Click Resend registration email.

Delete a user

Deleting a user cannot be undone. oneGRID prevents you from deleting or demoting the last administrator of your organization.

1. In the user list, open the three-dots menu of the user and click Delete.
2. Confirm the deletion.

Result

The user list matches your team: every user can log in, sees exactly the features their permissions allow, and works in the correct storage.
